Marist School Graduation Ball 2011 Final Report

Overview

Traditionally, the MSPTA organizes an annual activity or event for the parents, teachers and student of each year level. The Marist Graduation Ball 2011 is the designated activity for the Year 10 Level, a grand event to culminate ten years of the students’ Marist experience.

The MSPTA Year 10 Parent Representatives helped the students organize the Marist Graduation Ball 2011: “Valedictory – The Last Deal.” The ball was held last March 25, 2011 (Friday), from 5:30pm to midnight at the Grand Ballroom of the Eastwood Richmonde Hotel , Eastwood City.

Attendance

This event was well attended, with about 153 Year 10 graduates, 63 partners, eight (8) Year 10 teachers, MSPTA President Betty Srimata, and the Marist President Bro. Paterno Corpuz. Five MSPTA Year 10 Parent Representatives were also present, to coordinate side activities such as registration, the distribution of souvenirs, awards and prizes. Twenty other guests were not able to attend the event.

Financial Summary

This event was largely financed by parent payments for the Grad Ball tickets totalling PHP 402,250.

Expenses for venue (food, drinks, sound system), photo/video coverage, souvenirs, raffle prizes and awards totalled PHP 410,029.90. An additional PHP18,058.15 was incurred for miscellaneous expenses such as ticket printing, decors, tokens, rentals and cotillion rehearsal expenses.

Total expenses was PHP 428,088.05, or PHP 9,073.95 less than graduation ball funds.

Report: Cake Raffle (Part 1)

The Marist Grad Ball Cake Raffle Part 1 was held December 17, 2010. It raised P3,130 for the Graduation Ball Funds.

No costs were incurred since the raffle tickets as well as the cake prizes were all donated by the parents. The cake prizes were donated by the following:

Report: Cake Raffle (Part 2)

The Marist Grad Ball Cake Raffle part 2 was held March 9, 2011 at the High School Covered Court. It raised PHP 4,277 for the Graduation Ball Funds.

Raffle tickets as well as the cake prizes were all donated by the teachers and parents.

PHP 1,000.00 was used to provide snacks (pansit, pan de sal and cake) to the Homeroom with the Highest Cake Raffle Sales which is 10-VBF.

Report: Bottled Water Booth - Marist Fair

The Grad Ball Parent Committee, assisted by the Student Committee manned the Bottled Water Booth during the Marist Fair last Feb. 10 - 12, 2011. The venture contributed PHP 21,405 to the Graduation ball funds.

The booth sold bottled water worth PHP 44,430 and spent PHP 23, 025 on bottled water and ice.

Mr. and Mrs. Agudelo donated 5 boxes of Wilkins mineral water .

Report: Event Expenses

The largest item on the list of expenses is PHP 286,500.90 for the event venue consisting of rental for the Eastwood Richmonde Hotel Grand Ballroom, buffer dinner ( see menu) and bottomless iced-tea for 250 persons, and mobile sound system.

The extensive photo-video coverage worth P49,500 was one of the highlights of the event:

  • For three hours, two photo booths took posed pictures of individuals/student/teacher group. Pictures were printed on the spot
  • Two roving photographers and a videographer made the rounds, to ensure that attendance is documented, and to record special moments
  • All pictures taken are available for download on the Internet
  • All pictures and video were mastered to fit in two DVDs. One hundred eighty sets of the DVDs were made/copied, for distribution to all the student attendees of the event. Students may claim the souvenir DVDs from the Assistant Principal’s office.

Souvenir boutonnieres and corsages worth P22,130 were made from Mother-of-Pearl components, then distributed to the attendees as permanent souvenirs for the event, instead of boutonnieres and corsages made from fresh flowers.

Other souvenir items were custom-ordered or purchased for the attendees, as additional permanent souvenirs for the event.

  • Baseball-hat type black caps with custom “Valedictory” design were given to all student/teacher-attendees.
  • Princess Snow Globes for partner attendees
  • Glass stars (containing scrolls listing the names of all Year 10 students) for teachers

Prizes worth P15,989 were purchased for raffle prizes during the event:

  • 1 Samsung Cellphone (C330K Champ-O )
  • 1 Nikon Digital Camera (Coolpix S2500)
  • 4 x PHP 500 gift certificates
  • 10 x PHP 200 gifts certificates
  • 10 x PHP 100 gifts certificates

Sashes and keychains worth P2,470 were given away to:

  • Sashes for King and Queen of the night
  • Sashes for Best Dressed Male and People
  • Sashes for Best Couple
  • Custom key chains for each attendee from the Homeroom with the Highest number of attendees.

Tickets and maps were photo-printed, then inserted in envelopes. Total cost for ticket/map P3,789.50

Decors, tarpaulins, stage background and chocolate gold coins were acquired for PHP 4,744.50

The MSPTA Year 10 Parent Representatives donated/provided free snacks/merienda for the student committee during meetings.
